Full-time Administrative and Bookkeeping Postion

Position Overview

In this position, you will provide administrative and office managerial support to Blue Door Consulting’s team and report to its co-owners. This full-time position includes coordination and communication with clients as well as the organization of Blue Door Consulting’s internal administrative needs. And of course, this position will have other duties as assigned.

Primary Responsibilities

Administrative Support

In order to help our clients and our business grow, this position provides support and organization that enables Blue Door Consulting to better meet the needs of its clients.

You are well-suited for this position if you enjoy customer service, problem solving, administration and organization and when you:

  • Brainstorm ideas and solve problems 
  • Prepare and arrange meetings (in-person, video or telephonic) and conferences, including catering and other services 
  • Make travel arrangements as necessary 
  • Answer calls and greet visitors 
  • Develop and maintain relationships with vendors including researching, evaluating and making recommendations for the 
  • best options for service 
  • Work intricately with Microsoft Office, including Outlook, Excel, Word, PowerPoint Publisher, among other databases and other electronic resources as directed 
  • Coordinate technology needs and service requests with outside vendor 
  • Assemble and mail documents 
  • Maintain shared drives, electronic and physical files 
  • Sort daily mail, order supplies and maintain kitchen/break-room
  • Assist with other administrative responsibilities and special projects as needed


  • Conduct general bookkeeping and monthly billing using QuickBooks, including invoicing, accounts payable and accounts receivable in collaboration with Blue Door Consulting’s accountants 
  • Prepare and analyze reports: budgets, project details, billable time, balance sheets, paid time off, profit and loss 
  • Prepare bi-weekly payroll

Sales and Personnel Support

  • Assist with business development efforts through proposal writing and preparation 
  • Prepare and manage consulting and internal team agreements 
  • Assist in the development of internal office and employee policies

Work Environment Expectations

  • Associates’ degree or equivalent experience, plus a minimum of three years work experience; experience in marketing or business strongly preferred 
  • Excellent communication skills, both oral and written 
  • Strong computing skills and extensive experience with PC-based software, including word processors, spreadsheets and graphics (minimum of three years experience working with Microsoft Office, including Outlook, Word, Excel, Publisher and PowerPoint) 
  • Experience with QuickBooks required and its online time tracking preferred 
  • Conscientiousness in handling sensitive information effectively and confidentially 
  • Demonstrated ability to work both independently and collaboratively as a team player and with grace and flexibility in a rapidly changing environment

  • Outstanding interpersonal skills; must have credibility, good judgment, honesty and integrity 
  • Strong attention to detail; excellent organizational skills and thorough knowledge of general office procedures, technologies and equipment 
  • Appreciation that two days will never be the same 
  • Ability to work under pressure and with tight deadlines
